HubSpot workflow patterns
These patterns show how connector contracts fit together. Adapt business categories, sources, owner values and stages to the connected portal. Examples are not ready-made customer policies.
First prove the read path
Start with a trigger → Get Ticket → a no-action endpoint or diagnostic output. Confirm the incoming ID, exists, required properties and transcript before adding writes. This separates webhook/connection problems from prompt and send behavior.
If contact data is needed, use Get Contact from Ticket → check exists and non-empty contact_id → Get Contact. A missing association must not become an empty ID passed to the next action.
Control the data used by the workflow
Use the minimum ticket fields and conversation content needed for each step. Get Ticket includes internal comments by default; disable that option for steps that do not need them. Enable CRM Notes only when required, and check their content before passing it to an LLM or retrieval service. Apply your organization's rules for access, approved processing services and retention to run traces and diagnostic output as well.
Treat ticket messages and retrieved text as untrusted content. They must not override workflow instructions, select arbitrary recipients or authorize record changes. Derive destination records and recipients from validated workflow context, and constrain write actions to the fields and values allowed by the business process.
Keep internal summaries and customer-facing replies on separate paths. Select information suitable for the customer before generation, then validate the output before sending. A structured schema or a prompt instruction alone does not establish confidentiality or authorization. Route ambiguous cases for human review.
New-ticket triage and a public reply
A typical sequence is:
Receive
ticket.creationand Get Ticket.Apply the solution's origin, queue and eligibility conditions.
Prepare the question from the relevant ticket content permitted for customer-facing processing.
Retrieve knowledge and classify into a structured category.
Match explicit category values to their branches.
Validate the reply content and destination, then send it. Update status/owner only as required by the business process; route failed validation for human review.
Use Add Public Ticket Comment only with awareness of its conversation versus engagement fallback. A CRM-created ticket without a thread does not automatically gain email delivery from this action.
Keep fixed acknowledgements, legal/business wording and sign-offs in the message assembly when that is easier to maintain. Verify the whole rendered message, including generated text and language selection.
Internal assistance using a chat transcript
An upstream system can create the ticket and attach its transcript as a CRM Note. Enable include_notes on Get Ticket; include_internal_comments reads a different object type.
Inspect the retrieved content before choosing the RAG query. An unfilled ticket-description template can produce poor answers even when the full chat is available elsewhere in the same output. Where appropriate, summarize the actual request into a concise factual search description, then use that as the retrieval input.
Read timestamps and authors rather than assuming the transcript is globally sorted. Keep relevant earlier context when the final customer line refers back to it. If a Note is written after the creation webhook, investigate that timing separately; the read option does not wait for a future Note.
Use Add Internal Ticket Note for the draft, keeping summary and proposed reply distinct. The proposal should reflect that the ticket already exists. A draft is not a customer-sent answer.
Follow-up without a self-trigger loop
For a property-change design, inspect the actual incoming property and source. Follow the webhook eligibility sequence before intent classification. Do not let a flow's own status write automatically become evidence of a new customer reply.
Establish a customer-specific handover convention, such as automation ownership versus human ownership. “An owner exists” and “someone has replied before” need not distinguish human work from automated work.
Identify the latest relevant customer reply. An unresolved request containing “thanks” should remain available for help; a positive word alone is not a resolution signal. A message arriving without the watched property changing may not start this trigger, so test the actual HubSpot behavior your design relies on.
For explicit resolution choices, follow the setup and safe-use guidance for Incoming Button Click.
Structured output is a node contract
A classification node can return a controlled field:
With Automations structured output, select the schema field under .structuredOutput, for example .structuredOutput.intent. Ordinary text generation uses .text. This is the LLM node's output, not a HubSpot trigger field. See LLM Nodes.
When changing an enum, change the prompt definition, schema, condition values, connected branches, message variants and tests together. Give unexpected/invalid results a deliberate outcome rather than treating a final false branch as a business category.
Verify the boundaries that matter
For the changed path, test a qualifying and non-qualifying event, missing required data, expected versus ambiguous classification, human takeover and self-generated updates as applicable. Confirm both node outputs and the destination record/message.
Before replaying a failed run, check whether a preceding send or write already succeeded. Multi-step workflows and create-and-associate actions are not atomic. Preserve the old published configuration, and record the test ticket, run, time and resulting behavior in the customer solution guide.
